This Privacy Policy explains how PromoLineup Events Ltd (“PromoLineup”, “we”, “us”), NZBN 9429051284736, of Level 2, 87 Queen Street, Auckland CBD, Auckland 1010, New Zealand, collects, uses, stores and discloses personal information. We are committed to handling personal information in accordance with the Privacy Act 2020 and its thirteen Information Privacy Principles (IPPs).
1. What information we collect
We collect personal information only where it is necessary to run our business and deliver our services. This may include:
- Contact details — your name, email address, phone number and company name, when you submit an enquiry form, email us, or call us.
- Event details — preferred dates, venue information, approximate guest numbers and any other details you choose to share about your event.
- Correspondence — records of our communication with you, including quotes, concept notes and contracts.
- Website usage information — limited technical information described in our Cookie Policy, collected only with your consent where required.
We do not collect personal information about your guests beyond what is needed to plan the event (for example, an approximate headcount). Guest lists remain your property and your responsibility.
2. How we collect it (IPPs 1–4)
We collect personal information directly from you wherever practicable — through our website forms, by email, by phone, or in person during planning meetings. We only collect information for lawful purposes connected with our event production services, and we collect it in a way that is fair and not unreasonably intrusive.
3. How we use your information (IPPs 9–10)
We use personal information to:
- respond to enquiries and prepare quotes and concepts;
- plan, produce and deliver events you have booked;
- invoice for our services and maintain business records;
- send you updates about our services — only if you have opted in, and with an unsubscribe option in every message, consistent with the Unsolicited Electronic Messages Act 2007;
- meet our legal and accounting obligations.
We do not use personal information for purposes unrelated to those it was collected for, and we do not keep it longer than we need it (IPP 9).
4. Disclosure (IPP 11)
We do not sell, rent or trade personal information. We disclose it only:
- to service providers who assist us in delivering an event (for example, a partner venue that needs a client contact name), and only to the minimum extent necessary;
- to professional advisers (accountants, lawyers) under obligations of confidence;
- where required or permitted by law.
5. Overseas disclosure (IPP 12)
Some of our service providers (for example, email hosting) may store information on servers located outside New Zealand. Where this occurs, we take reasonable steps to ensure the information is subject to safeguards comparable to those in the Privacy Act 2020, as required by IPP 12.
6. Storage and security (IPP 5)
Personal information is stored in access-controlled systems available only to team members who need it for their role. We take reasonable security safeguards against loss, misuse and unauthorised access, modification or disclosure. Enquiry records are retained for up to three years after our last contact, and contractual and accounting records for seven years as required by New Zealand tax law, after which they are securely deleted.
7. Access and correction (IPPs 6–8)
You have the right to ask us for a copy of the personal information we hold about you, and to ask us to correct it if you believe it is wrong. Contact us at [email protected] or +64 9 358 4172. We will respond within 20 working days as required by the Privacy Act 2020. There is no charge for making a request.
8. Privacy breaches
If a privacy breach occurs that has caused, or is likely to cause, serious harm, we will notify the Office of the Privacy Commissioner and the affected individuals as soon as practicable, as required by Part 6 of the Privacy Act 2020.

10. Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last revised. Material changes will be highlighted on this page for at least 30 days.
